SDA 114: SDA Staff Member Speaking and Appearance Requests

Purpose

[horizontal rule]

SDA encourages coaches and staff members to act as ambassadors and represent the SDA brand through speaking engagements, appearances, and related promotional activities. Through this policy, SDA seeks to define the limitations relating to participation in such activities and to establish an efficient process for the review of requests for staff member participation in the activities to maintain compliance with NCAA and Pac-12 Conference rules and regulations.

Policy

  1. Required approvals – All requests will be submitted to and reviewed by the head of SDA marketing (or designee).  Further, all requests for coaches’ appearances and any request where the event audience, participants, or other attendees will include prospects (as that term is defined under NCAA legislation, which includes high-school and junior-college-aged students) will require Compliance Office review for determinations as to whether such requests meet NCAA rules and regulations.

  2. Institutional policy considerations –
    1. Appearance requests for coaches and other athletics staff members should be made through SDA’s online system.  Telephone and email inquiries may not be considered.
    2. Appearance requests may not be approved if the online form is not fully completed or does not contain all of the information necessary to make a determination under ASU, NCAA, and Pac-12 conference rules and regulations.
    3. Due to limited availability of personnel and distance-related challenges, priority will be given to entities within the greater Phoenix area.
    4. Coaches and athletics staff will not attend events that cause them to miss games, practices, meetings, or any other institutional obligations. For this reason, it is unlikely that coaches and other sport specific athletics staff will be able to accommodate requests during a sport’s playing season.
    5. Requesters may be required to provide copies of all promotional materials (e.g., flyers, advertisements, website information) that will be used in connection with the events.
    6. SDA reserves the right, for any reason, to deny appearance requests.

  4. Timeline and service standards –
    1. Appearance requests should be submitted through the online request system set forth below at least six weeks before the date of the event.
    2. SDA will attempt to provide a response to appearance requests within seven business days of the request date. Due to the volume of requests, however, SDA cannot guarantee that every requester will receive a response.

  6. Participation is not guaranteed – SDA cannot guarantee that it will be able to offer staff members who are specifically identified in appearance requests for participation in events.  Requesters will be notified if SDA intends to offer different participants.
