SDA 1102: SDA Staff Member Employment at Outside Sport Camps or Clinics

To define the manner in which Sun Devil Athletics reviews and approves SDA coach and staff member requests to work at sports camps and clinics that are not owned or operated by ASU or SDA coaches.

Policy

  1. Scope – This policy covers requests by SDA staff members to work, in a paid or unpaid position, at sports camps and clinics that are not owned by ASU or an SDA coach (“outside camps”). For purposes of this policy, “camps and clinics” and “prospective student-athletes” have the meanings defined in the NCAA Division I Manual.

  3. Rules compliance – In addition to institutional policies, outside camps must be conducted in accordance with all NCAA and Pac-12 Conference rules and regulations for staff members to receive approval to work them.

  5. Pre-approval for outside camps – SDA staff members must receive approval from the Compliance Office before working at an outside camp. (See SDA1101- "Sport Camps and Clinics Owned by ASU or SDA Coaches for the policy governing Sport Camps and Clinics Owned by ASU or SDA Coaches). The coach or staff member must provide the Compliance Office with information relevant to determining whether working the outside camp is permissible under NCAA and Pac-12 Conference rules, including, but not limited to:
    1. Advertising materials;
    2. Fees and other camp or clinic payment information;
    3. Whether any tangible items or other benefits (e.g., discounts, complimentary admissions) will be provided to prospective student-athletes and descriptions of those items or benefits;
    4. Whether participants will receive reimbursement for any expenses in relation to the outside camp;
    5. Whether the coach or staff member will or intends to recruit as part of any travel related to the outside camp;and
    6. Whether the coach or staff member will receive reimbursement for expenses related to the outside camp.

  7. No use of University assets – Staff members are prohibited from using university equipment and resources for outside-camp purposes. (See, e.g., ACD 123 – Misuse of University Assets , FIN 117 – Personal Use of University Resources , PCS 902 – Personal Use of University Equipment ).

  9. Vacation leave – Any staff member working at an outside camp during normal business hours (i.e., weekdays 8:00 AM – 5:00 PM) must use vacation leave or, for hourly employees, compensatory time for the hours worked.
