CONSTITUTION

 

PREAMBLE

We the members of the Arizona State University chapter of Golden Key International Honour Society, and subscribing to the regulations and policies of Arizona State University, establish this Constitution to govern the matters within our organization.


 


 

Article I - Name

Section 1


The name of our organization shall be the Arizona State University chapter of Golden Key International Honour Society, also known as Golden Key

Section 2

This organization is an active chapter of the Golden Key International Honour Society and are therefore associated with any of their affiliates.


Article II - Purpose

Section 1


The purpose of this organization shall be to build global communities of academic achievers by providing opportunities for individual growth through leadership, career development, networking, and community service.

Article III - Membership

Section 1


Membership is by invitation only. The requirements for membership are a grade point average which places you at the top 15% of juniors and seniors at ASU. Other requirements include a one time only membership fee. Involvement in the club is not mandatory for membership. Benefits of membership can be found on the webpage www.goldenkey.org. Membership may be terminated by a vote of the current officers and in agreement with the head office of Golden Key.

Section 2


Honorary members are chosen yearly at the discretion of the officers. These may include alumni, staff, faculty, or community members. Honorary members may not act as or have the same privileges of a member or serve as a committee member.


Article IV - Selection of Officers

Section 1


Election of officers shall be held once a year at a date determined by that chapter. Officer Terms shall be flexible and will typically run from January through December or June through May.

Section 2


Candidates will be accepted if they have been inducted as a member of the Golden Key International Honour Society and are students at Arizona State University.

Section 3


Interested members shall apply for a specific position by submitting a letter of interest.

Section 4


Provisions for filling vacancies include special elections which can be initiated when there is a candidate willing to run for that position. Members will be notified of available vacancies at general meetings of the chapter. Other notification procedures may be valid as well.

Section 5

Officier Section will be decided upon amongst the Executive Board and appointed by the advisor.

Article V - Conduct

Section 1


Uphold the ideals of Golden Key International Honour Society and Arizona State University.

Section 2

No illegal drug use or consumption of alcohol beyond reasonable standards at Golden Key events.

Section 3

Proper attire is expected at all Golden Key events.

Section 4

Members are subject to suspension or expulsion in violation of set policies.

Article VI - Attendance and Standards of Performance

Section 1 Meetings


Executive Board Officers - All executive meetings, campus awareness (membership drive) activities, reception, and Honorary Member events are mandatory. General meetings and activities are not mandatory, but highly encouraged.General Members - General meetings and activities are not mandatory, but highly encouraged.

Section 2 Excused/Unexcused Absence


Attendance is expected and assumed once a member signs up for any event. Excused absences will be granted if notification is given at least one week prior to the day of the event, a replacement is found to participate in the event, or in the case of an emergency (at the discretion of the chairperson of the event.) Failure to do so will result in an unexcused absence. Members are subject to point deduction for unexcused absence. The number of points deducted is under the discretion of the chairperson of the event and Executive Board.

Section 3


In addition to Attendance policy, Executive Board Officers are required to facilitate at least one general meeting and chair one volunteer event per semester.

 


Article VII - Meetings

Section 1


Regular meetings of this organization shall be held roughly bimonthly. Meetings will be more frequent around certain activities such as Regional and International Conferences (one each year), the Induction Ceremony (Fall), and officer elections. When an upcoming meeting is scheduled, the Vice President or President will notify members through the society mass email system and post the meeting information on the MU meeting TV screens.

Section 2


A quorum shall consist of all active members in attendance, or otherwise communicating interest (i.e. email), at an advertised meeting. The highest-ranking officer will head meetings in attendance, most commonly the President and Vice President. Questions on specific parliamentary procedure will e directed to Golden key headquarters from goldenkey.org, and/or Golden key Regional Director for ASU.

 


Article VIII - Advisors

Section 1

There shall be one or more faculty/staff advisor who shall be member ex-officio with no voting privileges.

Section 2


Method of selecting an advisor: The chapter organization can nominate faculty/staff member or advisor position at any point that the position should be fulfilled which can be accepted or refused by nominee until position is filled.

Section 3

Duties and responsibilities of advisor. As an advisor you agree:
  • That you are a full-time employee (faculty or staff) at Arizona State University and that you will notify SORC immediately if your employment status changes.
  • To assist your student organization in developing realistic goals for the academic year. This will contribute to the educational and personal development of the students involved.
  • To be familiar with the student organization's constitution and all other governing documents, so that you may advise effectively.
  • To attend executive office, general meetings, and organization events when possible.
  • To receive and review monthly financial reports from the organization's treasurer.
  • To encourage the officers of the organization to share information with the general membership.
  • To assist in the orientation of new members and with the transition process each year.
  • To be familiar with the Arizona Board of Regents Student Code of Conduct and other institutional guidelines that establishes exceptions for student behavior and activities.
  • To guide the group and its officers to establish policies, answers policy questions, and explain the consequences for choosing to operate outside their parameters.

 


Article IX - Resignation/Removal

Section 1


Advisors may resign for personal reasons, a long leave of absence or permanent departure from the campus. Advisors must meet with the Executive Board and appoint a replacement before departure. If the Executive Board finds reason for an advisor resignation/removal, they must speak with the advisor, the regional director, and International Headquarters.

Section 2

If an executive officer is not fulfilling his/her duties, he/she may be asked to resign from his/her position.

Section 3

If an officer decides to resign from his/her position, a written resignation must be presented to the Executive Board. The officer is required to perform the duties of elected office for the following month or until a replacement is found. The resigned officer must remain in contact with the Executive Board during the replacement process.

Section 4

If resignation does not occur, resignation can be determined by consensus of the Executive Board.

Section 5

The Executive Board reserves the right to appoint replacement for the officer who resigns.

Article X -Amendments

Section 1

This constitution may be amended by majority vote on the proposed amendment. Amendments shall be made in the form of writing and brought to the attention of the chapter President, Vice President, and Advisor. The amendment must include the written amendment, reason for amendment, date of submittal, and name(s) of submitter(s).
