Publication Permissions


All requests to publish, exhibit or redistribute (hereafter "publish" or "publication") materials reproduced from our collections must be submitted in writing to the Head, Department of Archives and Special Collections in advance of publication. The Department reserves the right to extend or withhold permission to publish reproductions of its physical property. Click here to access the Request for Permission to Publish form. In addition, it is the responsibility of the user to obtain permission to publish from the owner of the copyright (the institution, the creator of the record, the author or his/her transferees, heirs, legatees, or executors). The Department reserves the right to extend or withhold permission for publication of its intellectual property when copyright for the selected images has been retained by ASU.When copyright is not retained by ASU the Department refers users requesting permissions for publication to potential image copyright owners whenever possible. The owner of the copyright may charge fees in addition to those charged by the Department.


When placing a copy photography order the user must complete our Copy Photography Order Form, in which the user agrees to indemnify and hold harmless Arizona State University, its officers, employees, and agents from and against all claims made by any person asserting that he or she is an owner of the copyright.



Commercial Use Fees


No use fees are charged of the Department's holdings in student papers, theses, dissertations, or in official publications of the University. No use fees are charged for publication, exhibition or redistribution of images by private individuals, government agencies or non profit organizations (defined by valid non-profit tax status). All other businesses, organizations, and commercial consultants or contractors will be assessed commercial use fees as described below. Consultants or contractors working for government or non-profit agencies may have use fees waived if the sponsoring agency sends a written communication to Archives and Special Collections confirming their sponsorship of the consultant/contractor's work.


A $100.00 per image use fee is charged for any one time, one edition, commercial use of the physical property of our photographs. These uses may include but are not limited to publication in textbooks, consulting reports, newspapers, the popular press, motion pictures, television advertisements, display in business venues, or other commercial ephemera (menus, posters, brochures). A fee of $300.00 is charged for multiple use of a single edition, including multiple broadcasts or screenings, or various language editions of the same work.



Citation Form


The Department requires that any authorized publication, exhibition or redistribution of reproductions of its physical property by accompanied by a proper citation to its source. Presentation of images in web pages, multimedia, print or television must be accompanied by a cutline citation to the research unit of origin and the University Libraries (e.g. Arizona Collection, Arizona State University Libraries), preferably in close proximity to the image. Materials appearing in scholarly work must be accompanied by full citations with call number and collection title in addition to the cutline citation form above (e.g. MCL 82309, Herb and Dorothy McLaughlin Collection, Arizona Collection, Arizona State University Libraries).
