Media Policy #2:
Requests to Photograph
in the University Libraries
(aka: Filming in the Libraries)
All requests to use a library facility as a setting for photography are to be referred to the Office of the Dean of Libraries and University Librarian.
Such requests must be not only evaluated in terms of impact on library operations, service and users but also approved by the appropriate Program Coordinator in Public Events. This includes: ASU affiliated individuals and groups (e.g., students individually or as a group).
ASU Public Events assumption of authority over ASU affiliated individuals and groups is new to this policy revision. The change is in response to new interpretation of risk management issues that have been identified by ASU General Counsel.

The Dean's Office will take responsibility for: ·
- assessment from the Libraries perspective
- coordination with Public Events for approval and arrangements
- notification of library departments and personnel in advance of the approved arrangements.
The one exception where clearance is not needed by ASU Public Events is local television news channels desiring to film a news segment (aka " news clip"). These still need to be approved by and coordinated internally by the Dean's Office to minimize disruption. < A news journalism show like 60 Minutes does not to fall into this category and still requires clearance through Public Events.>
Rationale:
- By referring all such requests to the Office of the Dean, that office can serve as a clearinghouse to expedite assessment of library impact as well as negotiations with ASU Public Events.
- ASU Public Events assesses fees, on behalf of the University, for use of the campus by commercial filmmakers.
- ASU Public Events has the expertise, as well as the assigned responsibility and authority, to evaluate photography requests and directly monitor the filming.
