CALENDARING
The OfficeVision calendar will remain the "official University calendar"
until OfficeVision users currently using calendaring on OfficeVision have
migrated to Exchange. In the meantime, OfficeVision has been set-up with
the capability to forward e-mail to Exchange, yet retain a copy of meeting
notices on the OfficeVision system for continued use with OfficeVision
calendaring.
Approximately 350 people that use calendaring on OfficeVision now have
accounts on Exchange. This leaves approximately 800 left to move across
to Exchange. At the current rate of migration the earliest this might
happen would probably be late summer or fall. The E-Mail Team will review
the usage in April and begin work to encourage people using calendaring
on OfficeVision to move to Exchange.
Related to calendaring on Exchange: Some people are choosing to do dual
calendaring between OfficeVision and Exchange in order to take advantage of
Exchange capabilities, such as meeting reminders that flash on the screen.
A new release of the Exchange Server software (5.5) will be installed
during Spring Break. This new release will enable Web browser access to
Exchange calendars, in the same way that users can currently access their
Exchange e-mail via a browser.
Exchange users at ASU can use Exchange "Public Folders" (PFs). Read and
write access to PFs can be managed by any Exchange user who is designated
as administrator. PFs have an Internet e-mail address and can receive mail.
Forms development capability is also available with Outlook. PFs can be
used for forms distribution and storage. Shared distribution lists (DLs)
are available to Exchange users. Exchange shared DLs can be built using
anyone in the Global Address List and can be used by anyone who is given
permission (including non-Exchange users) since each one has an Internet

about setting up either distribution lists or public folders.
A restriction of 10 mb/folder has been put in place.
Two additional Exchange servers will be installed during Spring Break and
this should help (at least in the near term) performance on the Exchange
system.
Given the good progress that is being made in the Workgroup Deployment
Phase (Phase II), it will continue as long as workgroups are self
identifying and moving to Exchange.
