DTAs must work with department supervisors to ensure “line of sight,” i.e., the ability of the DTA to obtain direct knowledge that the time the employee is processing is accurate and complete.

DTAs ensure that all time signed for and approved by a supervisor is finalized and entered accurately within established payroll processing deadlines.

DTAs must compare every employee’s online timesheet with documentation received to ensure that all hours outside the standard work schedule have been approved and that all requests for paid time off have been documented.

DTAs are responsible for reporting discrepancies between online timesheet and documentation to the employee’s supervisor for resolution.

DTAs must maintain all records pertaining to time reporting, including approvals for paid time off, for a period of three fiscal years.

Departments may establish a different method to request and record time off as long as that method includes creating and maintaining documentation that the supervisor approved the time and that it was accurately processed by the department time administrator.
