AFFILIATE MANAGEMENT SYSTEM
THE ENTERPRISE HUB

WHAT IS THE AFFILIATE MANAGEMENT SYSTEM?
The Affiliate Management System is designed to collect and update name, address, and demographic information about any person or organization doing business with ASU. The System stores this information in a central database. ASU production systems and departmental applications can or may interface with the database to obtain this data.

WHO ARE AFFILIATES?
Affiliates are persons and organizations doing business with ASU:

• Student Prospects
• Students
• Employees
• Courtesy Students (American English and Cultural Program Participants)
• Courtesy Affiliates (Persons to whom ASU grants a service, such as a Sun Card)

WHAT ARE THE BENEFITS OF USING THE AFFILIATE MANAGEMENT SYSTEM
• Allows a single point of data entry.
• Interfaces with the Student Information System, the Human Resources System, and some client/server and departmental applications, such as the West Campus Student Prospect System.
• Improves data accuracy.
• Allows for improved communication with Affiliates using today's technology, such as multiple addresses and/or phones, pager numbers, fax numbers, email addresses.
• Used as a source for: Electronic Directory ,the Post Office and ASURITE ID.

WHAT IS THE AFFILIATE ID?
Each person or organization is referred to as an Affiliate and is sequentially assigned an Affiliate ID. The Affiliate ID is a unique number that never changes. Currently, the Affiliate ID appears on the front of the Sun Card and is used as the identifying number in several databases including the Data Warehouse.

WHAT INFORMATION IS CONTAINED IN THE AFFILIATE DATABASE?
The Affiliate database contains the following information about Affiliates:
• Name and former names
• ASU ID and former ASU IDs
• Affiliate ID
• Social Security Number
• ASURITE ID
• Addresses and former addresses
• Phone numbers, fax numbers, pager numbers, etc.
• Email addresses
• Ethnicity
• Cultural origin
• International origin/Source of support
• Affiliation types and status
• Campus
• Release information
