Position requirements:
Note: The position of President and VP of Finance are year long, all other positions are for one semester.
- President
- minimum Executive board experience of one year
- Serves as a liaison to the chapter and faculty advisor
- Prepares and submits a Chapter Plan with input from the board of directors, for final delivery to AMA headquarters.
- Prepares and submits the Annual Report with input from the board of directors, for final delivery to AMA headquarters.
- Determines if the objectives and strategies contribute to the long range interest of the chapter and analyzes the extent to which the needs of all members are served.
- Makes collegiate chapter policy decisions in consultation with the faculty advisor and board of directors.
- Calls and conducts all general collegiate chapter and board meetings
- Prior to the completion of his/her term, reviews all files with the president-elect and prepares final report, including budget estimates and recommendations for the next year.
- Reserves meeting rooms for all Thursday and Sunday meetings
- Coordinates guest speakers for weekly meetings
- Ensures that AMA meets all ASU, AMA, and BSC requirements and completes all necessary paperwork.
- Attends monthly BSC meetings as a requirement for the college of Business
- Coordinates communication with the board of directors
- Works with the Vice-President of Finance in presenting the semester budget to the board of directors for approval.
- Executive Vice President
- minimum Executive board experience of one semester
- Assumes duties of the President in her absence.
- Serves as a historian to take pictures at various weekly meetings as well as planned events.
- Organizes trip to International Collegiate Conference in conjunction with the Conference Committee Chair.
- Works with the President to periodically check up on projects throughout the semester and provide assistance to the VPs.
- Takes attendance at weekly E-board meetings, as well as minutes from the Sunday meeting including VP responsibilities for the week.
- Career Development
- Coordinates resume book of AMA members to send out to hiring companies
- Look for and advertise internships and job opportunities to the general membership through announcements and the chapter newsletter
- Acts as a liasion between the AMA Professional Chapter and Collegiate Chapter.
- Attends monthly AMA Professional Chapter luncheons.
- Finance
- Work with the President to create a semester budget.
- Collects dues from the AMA collegiate chapter.
- Works with the VP of Human Resources to send in dues to the AMA national chapter.
- Changes names on AMA account at Tempe Federal Credit Union
- Collects receipts from VPs at weekly E-board meetings.
- Reimburses VPs with checks at the following E-board meetings.
- Tracks a budget throughout the semester with explanations for budget variances.
- Fundraising
- Responsible for renting monthly AMA space near the Memorial Union to companies who want to advertise on campus.
- Coordinates at least one special fundraising event per semester.
- Obtains donations for local businesses for chapter operations such as prizes for the semester and director of the month.
- Human Resources
- Responsible for carrying out the E-board marketing plan for Rush week.
- Recognizes the member and director of the month or at the weekly general meeting. Director and member of the month will be voted on by the E-board
- Sets up the sign-up table, accompanied by a director or committee member, at weekly general meetings no later than 4:30 pm. Makes sure all necessary handouts are at the sign-in table, members sign-in, and members make a nametag.
- Maintains records of each member and their attendance.
- Creates and maintains a general membership phone list that will be given to each AMA Collegiate Chapter member.
- Supervises the calling committee. Calling committee will make weekly calls to inform members about the weekly general meeting and any other planned events for the week.
- Works with the VP of Finance to send in AMA national membership applications
- Coordinates and executes the application process with the help of the VP of Finance and other VPs.
- Philanthropy
- Responsible for finding and coordinating at least two community service events per semester.
- Responsible for the advertisement of philanthropic events and the recruitment of members to participate in philanthropic events.
- Public Relations
- Responsible for AMA press releases and notifying the State Press and other media about AMA events.
- Coordinates with establishments for weekly socials.
- Responsible for the planning of the Semi-Annual and End of Semester Banquet.
- Coordinates days in the park.
- Advertises social events at weekly meetings and encourages members to attend.
- Advertising
- Responsible for notification of weekly meeting to the State Press.
- Responsible for making sure that flyers are made and posted around the university to advertise weekly events.
- Coordinate advertising methods of any special events.
- Communication
- Responsible for creating a weekly newsletter which will be given to AMA collegiate chapter members. Newsletter should contain available internships or job opportunities, officer announcements, important AMA events, calendar of events, important information, or advertising for corporate sponsors.
- Makes and distributes relevant member surveys at general meetings.
- Maintains a database of all member emails and sends email updates to all members of AMA updates.
- Contacts each speaker to confirm attendance and provides to guest speaker: welcome letter (including directions to campus, short biography form, request for equipment. Designates a meeting spot at which to meet the guest speaker and escort them to the meeting room.
- Formally introduces the guest speaker to the AMA collegiate chapter. Provides water for the guest speaker, formally thank the guest speaker, give them a small gift to express our appreciation, and give the guest speaker a parking pass.
- Obtains speaker gifts from the bookstore.
All new executive board members are required to attend all Thursday AMA meetings, Sunday executive board meetings from 7:00 -8:00 pm, and the executive board retreat.
