Placement Service for Terminal Degree Candidates  

The English Department at ASU has approved the following mechanism for creating a restricted placement service within the Graduate Studies Office in the Department of English. Generally, the distribution of responsibilities for those seeking placement would be as follows:

A. The Candidate

First, candidates must request the establishment of a placement dossier, which will be housed in a locked file drawer in the Graduate Office, and solicit at least three “confidential” letters of recommendation to be held in those files.  Second, for each application, candidates will assemble, duplicate, and arrange the letter of application, official transcripts (if required), and any other supplementary materials requested by the target institution (e.g. state of teaching philosophy, writing sample, list of graduate courses, and/or course syllabi), and these materials will be reviewed by the dissertation director and/or other committee members. Once these materials are reviewed and revised, candidates will transmit them directly to the potential employing institution. Third, where initial applications require the submission of official letters of reference (or when candidates receive subsequent requests or ‘call-backs’ for such letters), candidates will go to the Graduate Office and complete a form requesting the transmission of letters of reference. Candidate will also be required to type the mailing labels, however, blank labels will be supplied to candidate, if desired. Then the Graduate Office will process the request and transmit confidential letters to the institution in question.

B. The Dissertation Director

Normally, dissertation directors will review all application materials, checking both letters of applications (to assure that candidates have presented themselves in the best possible light) and letters of recommendation (candidates will “waive” the right to access these letters, but dissertation directors will have access to these letters to assure quality control). As well, dissertation directors will collaborate with candidates in the selection of writing samples and other supplemental materials submitted as part of the application itself. [Note: much of this work will be concluded prior to establishing the placement file.]

C. The Department of English Graduate Studies Office

Once the candidate’s file has been established and all pertinent materials (i.e. letters of recommendation) have been submitted, the graduate office will be ready to process “dossier” requests. [These letters will be housed in a locked file drawer and will be transmitted upon request.] When a request is received, copies of the confidential letters of recommendation will be forwarded to the proper institution. A cover sheet will be added to the materials to certify that confidentiality has been preserved and to explain that placement services for candidates are now processed “in-house” within the English Department. The dossier will then be transmitted to the proper institution. These files will be maintained for a five-year term, although occasionally candidates can request the service beyond this date.

D. Annual Fee for Placement Services

Candidates will be charged an annual fee for this service, with the amount set by the number of request as follows:

                1-10 requests = $10.00
                11-20 requests = $20.00
                20-30 requests = $30.00

However, when a candidate requires specialized services (e.g. overnight, second or third day express), these costs will be the responsibility of the candidate.
