Department personnel are permitted to cannibalize capital equipment provided that, if the equipment was originally purchased on a grant or contract, permission must be obtained by the grantor. University departments are responsible for preparing a Property Relocation Authorization (PRA) form to notify Property Control before cannibalizing equipment. Any remaining parts or items left over from the cannibalization must be forwarded to Surplus Property.

  1. Complete a Property Relocation Authorization (PRA) form, checking the Disposal/Salvage box in the “Activity” section.
    Note: Forms are available in Property Control.
  2. Record the ASU property control number on the PRA. Indicate in the “Reason/Comments” block that the equipment is to be cannibalized.
  3. Obtain the signature of the department chair, dean, or director.
    Note: No exceptions for signatures will be permitted.
  4. Forward the approved PRA to Surplus Property with the leftover property.
  5. Retain the originating department copy for department files.
If sponsor-owned equipment appears on the PRA:

  1. Notify the sponsored property coordinator.

  1. Check the source of funds, title, and the sponsored account for specific regulations concerning disposition procedures.
If specific disposition instructions for cannibalization are required:
  1. Contact the sponsor.
If equipment is owned by ASU:
Surplus Property
  1. Verify that cannibalization has taken place.
  2. Approve the PRA, verifying equipment cannibalization.
  3. Retain the original for department files.
Property Control
  1. Remove the equipment from the property control system.
