To ensure the proper transfer of sponsor-owned equipment on active or inactive grants or contracts in accordance with federal and university requirements

Faculty or principal investigators transferring equipment

[horizontal rule]

University personnel are responsible for notifying the ASU sponsored projects officer and sponsored property coordinator when sponsored-owned equipment is being transferred to another university.

Equipment is generally transferred because faculty members move themselves and their research to other universities. Shipping or freight charges will be paid for by the university receiving the property.

Procedure

The department/principal investigator requests an equipment transfer authorization from the sponsored projects officer.

The sponsored projects officer requests, in writing, the equipment transfer from the sponsor, and copies the sponsored property coordinator on the memo.

If an equipment transfer is approved, the sponsored projects officer forwards the authorization letter to the sponsored property coordinator.

The sponsored property coordinator:

  1. determines from the department the equipment transfer departure date
  2. removes ASU property control numbers from equipment prior to the equipment departure date

    and

  3. removes the equipment from the property control system.
